Clubmate provides a membership ID card print fulfilment service, enabling members to purchase a physical membership ID card which is automatically sent to them in the post by our fulfilment team.
The club can choose to pay for the cards themselves and send cards to all qualifying members. Or they can choose to pass the costs on to a member.
*this service is currently only available in the UK & Ireland.
How it works
When a member purchases a qualifying membership ID card product, we will automatically print and send a card, including their name, photo, membership details and club info, to the member in the post.
The card should arrive within 10 working days but we'll do our best to get it to them sooner.
Getting set up
To enable your members to be able to purchase a card, you will first need to configure your card layout and set up an ID card product.
Issuing process
Once a qualifying membership ID card product has been purchased, their card will be automatically added to the Membership ID card processing queue. You can locate this via Reports > Member reports tab and selecting the Membership ID card report.
By default, all cards in the queue will be automatically processed at 12pm each day. Prior to then, you are able to review the members profile and can choose to cancel or hold the card from being processed. If desired, you can choose to manually approve/cancel all cards before processing.
ID card reporting
You can track a members card and it's status either via the Membership ID card report or via the audit trail in their member profile.
To access the Membership ID card report, go to Reporting > Members Reports and then select Membership ID card report. From here you can filter based on date ranges and view the statuses of your cards. This includes whether a card has been issued, held or pending activation. You can also see the date and time of when the card was processed.
The audit trail provides a full list of status changes of the card, including when it was purchased, activated and processed. If the card failed to activate, you can also see the reason why it failed as well.
Managing ID card exceptions
On occasions, a card may not arrive with the member as expected.
This could be for a number of reasons, including inaccurate address details, processing issues (ie, the card was never sent) or the delivery service we use (Royal Mail) has not delivered the card correctly.
Here's how to manage the most common reasons for ID card queries:
