Manually processing an ID card for a member

How to order an ID card for a member within Clubmate

To request a card for a member, you will need to process a purchase of a valid Membership ID card product against the members profile and then activate the card purchase in the Membership ID card report.

You can do this as a standalone purchase or as a bolt-on to a membership.

Standalone ID card purchase

To process a standalone purchase of a membership card, either as a replacement card or because the member has subsequently decided to purchase one, follow these steps:

  • Locate the members profile and click on the 'New Purchase' button. This will take you to the till.

  • Now select a valid membership ID card product from your product options. This product must be configured to act as a trigger for issuing an ID card (see this article for setting up products to act as ID card triggers).

  • If you wish to charge the member for the card, you can process a payment for them via the till.

  • If you do not wish to charge for the card, you still need to process a product purchase but you can override the value of the product to £0. This will stop the member being charged but also trigger the card to be issued.

  • Once the product purchase has been processed, you will need to activate the card.

  • First navigate to Reporting > Member reports and then select the Membership ID card report.

  • Then locate the relevant member in the report and click on the Activate button.

  • You will be prompted to select which membership plan the card should be printed for.

  • Once activated, the card will enter the processing queue.

Membership ID card bolt-on purchase

If you are processing a membership manually within Clubmate and want a card to be issued for the member, you will need to add a Membership ID card product as a bolt-on to the membership.

  • Locate the members profile and follow the normal process for adding a membership manually (see this article if you need guidance on this).

  • When you get to the Memberships Add ons section, select a valid membership ID card product from the list of options. This product must be configured to act as a trigger for issuing an ID card (see this article for setting up products to act as ID card triggers).

  • Then complete the membership purchase via the till.

  • Once the purchase has been processed, you will need to activate the card.

  • First navigate to Reporting > Member reports and then select the Membership ID card report.

  • Then locate the relevant member in the report and click on the Activate button.

  • You will be prompted to select which membership plan the card should be printed for.

  • Once activated, the card will enter the processing queue.
