Re-issuing an ID card

How to request a replacement ID card

There are various reasons why you may need to send a replacement card. Perhaps the original didn't turn up, some of the details on the card were incorrect or the member has just misplaced their card and has ordered another one.

We have two different processes depending whether you want to re-issue the exact same card or issue a new card with updated details

If you need to re-issue a card because a member has misplaced or has not received their card and you wish to reissue the same card to them without charge then you will need to re-issue the same card

If you need to re-issue a card to a member due to their membership details have changed since the last card was issued and/or you are charging for a replacement card, then you will need to re-issue a new card.

If you have a 'Membership ID card' product set up and made available for purchase online, a member can also request a card by purchasing the ID card product via the online store. This will then be fulfilled automatically.

Re-issuing the same card

If the member has misplaced their card or has not received their card and you wish to reissue the exact same card to them without charge, follow these steps.

  • To resend the same card to a member, go to Reports > Member Reports tab > and select the Membership ID Card report.

  • Filter the report based on when the original card was purchased (this is most likely the date that the membership was purchased) and then locate the relevant member in the list.

  • Against the members name, there will be an option to 're-issue'. Click this option and the card will be queued for processing.

Re-issuing a new card

If you want to charge for the card you want to re-issue or the membership information has changed since the original card was issued, for example the membership type has changed then you will need to request a new card.

To do this, you will need to process a purchase of a valid Membership ID card product against the members profile and then activate the card purchase in the Membership ID card report. To do this, please follow these steps:

  • Locate the members profile and click on the 'New Purchase' button. This will take you to the till.

  • Now select a valid membership ID card product from your product options. This product must be configured to act as a trigger for issuing an ID card (see this article for setting up products to act as ID card triggers).

  • If you wish to charge the member for the card, you can process a payment for them via the till.

  • If you do not wish to charge for the card, you still need to process a product purchase but you can override the value of the product to £0. This will stop the member being charged but also trigger the card to be issued.

  • Once the product purchase has been processed, you will need to activate the card. First navigate to Reporting > Member reports and then select the Membership ID card report.

  • The locate the relevant member in the report and click on the Activate button.

  • You will be prompted to select which membership plan the card should be printed for.
