Latest release - product updates

This latest update is our biggest and most exciting yet.

Based on client feedback, the main focus of development has been on making the entire system easier to use on a mobile. This includes a complete make-over of the system so that administrators, members and now bailiffs can access and use Clubmate efficiently and securely on their phones and tablets (as well as desktops).

The look and feel has changed to reflect a more modern design, which should make using the system that little bit more intuitive. And we've thrown in some exciting new features too (including the much anticipated Bailiff app!).

Here's a list of the new features (click on each link to learn more):

Please note that the apps are currently under a final review with Apple and Google and we will provide a more detailed update on how to access these in the coming days/week.

This update contains quite a lot of change so we recommend taking the time read through each of the sections below and watch any relevant videos so that you can get up to speed as quickly as possible.

Clubmate - new design introduction

We've given the system a facelift, injected some colour, rounded off some of the edges and made certain items easier to view on a mobile.

When you first log back in to Clubmate after the update, the system is likely to look a little different to what you are used to. Don't worry, the core functionality remains very similar and in the same place it was before.

Customisable Dashboard

Over the years, we've received various requests to add/remove items from the dashboard. However, different clients have different requests so rather than try and follow a one size fits all approach, users can now fully customise their own dashboard, allowing them to pick and choose the view thats most important to them.

See Customisable Dashboard help article for more detailed information.

Member Quick View

We've introduced a new 'Member Quick View' which provides the key information you need to know such as member photo, membership status, upcoming bookings and recent notes without having to delve deeper in to the members profile.

It also provides some quick action buttons enabling you to update photos, add notes, send messages, add memberships and make a booking, much faster than before. You can also manually check your members in too.

See Member Quick View help article for more information

Notes

There is a new dedicated area for adding notes. You can access this via the Member Quick view or within the members full profile (via Comms Hub).

All users (Owners, Staff & Bailiffs) will be able to add a free form note and review the most recent notes via the Member Quick View. Owners and Staff users can also access all notes via the full profile.

Watch the video on Member Quick View to learn more about notes.

Check in / out

It is now possible to manually check a member in via their profile (or quick view) without the need for a booking. This will record that the member is currently in attendance. They will be automatically checked out after 4 hours as default, however you can also manually check them out by clicking on the same button.

Checking anglers in allows you to gain a greater understanding of angler activity such as how often they visit, when they visit etc. The more you know about who is fishing your waters, how often and when, the better armed you are with making informed decisions on whether to develop facilities, cap membership or encourage more ticket sales.

It is also a convenient way to keep tabs on your Bailiffs and ensure that they are doing their rounds (every time a bailiff checks someone in via the app, the system will record which Bailiff checked them in).

Watch the video on Member Quick View to learn more about checking someone in.

Communication options - Push notifications

With the introduction of the Member app, it is now possible for you to send a push notification directly to your members or customers. Perfect for any short, urgent messages that you need to get across quickly.

The push notification will be received on their phone and they will be able to access the message via their app. We have also introduced 'Smart Notifications'. This allows you to send 1 x message to all recipients and if they have downloaded the app then it will be sent there, if they haven't then it will be sent via email instead. This saves you having to send the same message to the same person via multiple channels.

You can learn more about these new communication types via our How to send an individual message or Sending a Group Message help articles.

Bailiff access + app

The most requested and anticipated feature to date is our new Bailiff access.

This enables your organisation to provide your bailiffs with restricted access to your member database and upcoming bookings securely on their phone.

They will be able to verify whether an angler is authorised to fish on the spot, check them in, add/review notes and process tickets & memberships too.

Please watch this video to learn the ins and outs and then follow the article below so that you can get your bailiffs set up.

Members area - redesigned + app

We've revamped the members area and have switched to a 'tile' navigation system (similar to apps on your phone). This improves the experience of using the members area on both a desktop as well as smaller devices.

We've made a few tweaks to the layout and added some features such as bespoke tiles, online shop and an improved booking flow.

*Once the Member app has received final signed off via the respective app stores, we will share details on how your members and customers can access the app.

Adding a bespoke page or tile to the member app

We may be biased but we think this is a very exciting feature.

You can now create bespoke pages and tiles to be displayed within your member portal. The tiles can either be bespoke web pages hosted within Clubmate or you can set the tile to redirect to an external site.

There are lots of different use cases. For example, you could sell advertising space, link the tile to a Catch Return form, promote a local tackle shop or create a latest news page to keep your anglers updated.

We recommend watching the video to get a broader flavour for how this could work for your organisation.

Enhanced branding

We've introduced some enhanced branding options, including a new colour scheme that you can add to help personalise the look and feel of the system throughout. You also have the ability to update the images that sit behind the tiles within the members app. Here's a video to show you whats new.

New admin bookings process

We've introduced the ability to add a booking for an individual, direct from their profile. The 'New Booking' button will take you straight to the Diary whereby you can add the individual to one or multiple bookings before recording a single payment via the Till.
