Important changes to the ID card process

Credits Remaining & Last Batch Processing Date

We have introduced a menu option within the Help button labelled ‘ID Cards’. By clicking on this menu option, you will be able to see how many credits you have remaining and the last date a batch was processed for your club. This means that all cards will have been processed for memberships purchased up to and including that date unless there is an exception (see ID Card Exceptions below).

We will no longer be manually updating the Card Number field within each profile, so please refer to the last batch date if you wish to know when your cards were last processed.

ID Card Exceptions - Member Group

If a member forgets to upload their photo or if their photo has been identified as unsuitable or if the member hasn’t provided a valid address, we will not send them a card (unless you have given us specific direction to issue a card without a photo).

Instead, their profile will be added to a member group labelled ‘ID Card Exceptions’.

It is the clubs responsibility to follow up with the member and gather the information required to enable us to issue the card. Once the profile has been updated, you will need to notify us so that we can issue the card.

You can do this via the Submit Card Request form (accessible via the ID Card menu option) and then select the option ‘Please issue an ID Card now the Member's profile is complete’.

Once the request has been submitted, we will process the card within 5 working days. We also recommend that you remove the updated profile from the ID Card Exceptions member group.

Every time an exception is added to the group, all Owner users will receive a notification email prompting them to login and review the profile(s).

Note: to make life easier, you have the option to make photos mandatory when a member joins/renews. To implement this please refer to this help article.

Replacement Cards, Admin Cards and Updated Profile forms

We now only have 1 x form for you to complete when requesting either a replacement card, staff/admin/bailiff card or for advising when an exception has been corrected.

This form is available via the ID Card option within the Help button.

ID Card Layout & Add-ons

We will be tweaking the layout of the reverse side of the ID cards so that we can format the information being displayed more clearly.

This will also see any add-ons / bolt-ons printed in full on the reverse instead of squeezed in as an acronym alongside the membership plan on the front.

For most clients, there will be no noticeable difference but for those that print bolt-ons or have lots of gate pins, this will be much easier for your members and bailiffs to read. This change will take place over the coming weeks. No action is required by yourselves.
