Adding a Diary entry

This article is all about adding new entries to your diary. 

Once you've set up your Locations, Events and Access, you'll need to add the booking to the diary, otherwise nobody will be able to make their booking online.

Adding a new booking

Select Diary from the menu on the left of the screen.

To add a Diary entry, first click on MONTH view (Month view is not available on mobile app) & then click on the date its self on the calendar.

You will now be prompted to create the booking. 

First of all choose when you'd like the Event to start. Click on the calendar icon, and then select the date and then the time (at the bottom).

Select the Event you wish to add to the Calendar from the drop down box.

This will then display the pre-defined settings for that Event, including the default Resource & Person. Should you wish to change the settings for the Event, click Edit. To configure an Event for a specific time period, specify the duration in minutes (e.g., 240 minutes for a 4-hour activity) and include the intended start time in the Event description. This ensures accurate scheduling.

Additionally, ensure that the Event is set to "Bookable online" in its settings to make it visible and accessible to members in the booking diary.

If the Event isn't listed, you will need to make sure it is configured first by looking at step 1 Setting up events - step 1

If the event is still not visible, verify that it is marked as "Bookable online" in its settings and that online booking is enabled.

Finally select the frequency of the event. For recurring schedules, ensure the recurrence settings are adjusted to align with the desired frequency and end date. Deleting individual occurrences will not affect the underlying recurrence settings.

  • If it is a one off, select Once and then click save. 

  • If it is a recurring event, select the relevant frequency (daily, weekly, monthly or yearly), the day on which it recurs and the desired end date of the sequence.  

If you use the Once option, this will add the event for that day only.

If you use the daily option, this will add the event once a day & if no end date is added, this will be ongoing daily as far as your calendar allows.

If you use the weekly option, this will add the event on the days you tick once a week.

End date, Use this if you have a season & want the event to no longer be available after the date selected. To stop recurrence outside the intended period, set an appropriate end date to prevent activities from appearing beyond the desired timeframe.

Now click Add and the event will show in your clubs diary.

Adjusting Configurations for Special Cases

For scenarios requiring different configurations for specific periods, such as switching from time slots to a full-day option:

  1. Turn off the original time-slot activity.

  2. Create and enable a new activity with the desired configuration for the specific period.

  3. Revert to the original activity after the period ends. This approach allows for flexible scheduling adjustments.
