Updating Staff or Volunteers access rights

It's important to maintain who has the correct level of access to your Clubmate account. Should an existing User change roles within your club, you should update their access rights immediately. 

In Clubmate, members and staff are managed differently. Members are listed in the Members area and are included in member searches and communications, while staff, such as bailiffs or committee members, are managed under Settings > Staff. Staff profiles do not appear in the Members list.

Role-Based Access Restrictions

  • Certain roles, such as bailiffs, have limited access and cannot view Staff/Admin profiles. Only Owners or Managers have permissions to access both Staff and Member areas. This ensures that sensitive information is accessible only to authorised personnel.

Amending User access

Log-in to Clubmate.

Click on the Settings icon in top right hand corner of the screen, scroll down and select 'Staff'

Scroll down to the User you wish to amend and click the blue Edit box on the right.

To amend their access role, click on the drop down box in the top right hand corner and select the relevant option.

Best Practices for Profile Management

  • Avoid creating duplicate profiles unless absolutely necessary, as this tends to lead to issues.

  • Always manage and communicate with Staff/Admin and Members through their respective sections in Clubmate to ensure clarity and efficiency.

  • Regularly review the list of users with administrative access to ensure it is up-to-date.

  • Limit the number of users with high-level access to reduce security risks.

Remember to click Save changes!
