How to set up and sell products at your club

Clubmate makes it easy for your club to sell products and generate additional revenue.

Products could be physical products such as club merchandise etc. They could also be used to provide access to your activities such as Day Tickets, Permits or Matches or be used for charitable donations.

You can sell Products and take payment via the Clubmate Till, from within the Members Profile or a member/customer can purchase online by card via the online portal. 

Through Clubmate's reporting tools, it's also really simple to track which items sell the most, set up stock reminders, allocate nominal codes and understand where your revenue is coming from.

Setting up Products

Click on the Settings icon in top right hand corner of the screen, scroll down and select 'Products' 

Click on the green Add New Product button

Then give the product a name and select which product type it should be:

  • Select Product if the item is a one off standalone purchase or is an bolt-on to the membership.

  • Select Credits if the purchase of the item provides access to a booking. For example, if the purchase of this product is related to a day ticket or guest ticket, you must select Credits.

  • Only select ePoints if actively using our ePoints system and you know when to add them (more information on this will be supplied in due course)

Add product details

You can now add the product details and if applicable, add logic for activity access.

For this article, we are going to split the options in to two. Adding a Product and Adding a Credit 

The Basic options tab will display different information depending on which product type you have selected (Product or Credit).

Product - Basics Options tab

  • Name  - Make sure you use an accurate description. This is the product name that a customer will select.

  • Till Name - You can provide the product with an internal name that is displayed in the till.

  • Nominal Code - make accounting that little bit easier by adding a nominal code to the product item.  

  • Group - Each product can be assigned to a product group. This can make it easier to navigate when using the Till. See Product Groups.

  • Price - Assign the relevant item cost for that product.

  • VAT - update any VAT rate, if applicable. 

  • Stock level - if selling physical products you may want to set an opening Stock Level. The Stock Level will be tracked and updated as you sell.

  • Stock warning level - When the stock level hits your warning level, you will receive an automated reminder in the Dashboard to order more stock.

  • Available on all memberships - This box will only appear if you have configured this product to be a bolt-on. If you require the bolt-on to be offered on all membership types, check this box.

Product - Advanced Options tab

  • Available to purchase for - you have the ability to restrict who can buy the product. Members & Non-members, Members only, Non-members only or via the Till only. If you do not wish for a product to be available online, select Till only.

  • Joining offer - if selected, this product will be promoted to the member as a special offer immediately after they have purchased their membership.

  • Bolt-on - you can choose whether this product is served up as an option to buy during the membership purchase process. This works really well for products that not all members need but some might (eg, replacement key or map book). It can also be used for donations.

  • Prevent bailiff selling this product -check this box if you want to restrict your bailiffs from being able to sell this product via the app.

Credits - Basics Options tab

  • Name - Make sure you use an accurate description. This is the product name that a customer will select.

  • Till Name - You can provide the product with an internal name that is displayed in the till.

  • Nominal Code - make accounting that little bit easier by adding a nominal code to the product item.

  • Group - Each product can be assigned to a product group. This can make it easier to navigate when using the Till. See Product Groups.

  • Price - Assign the relevant item cost for that product.

  • VAT - update any VAT rate, if applicable.

  • Credits - Only use Credits when linking a product to activity access.. Each Credit will enable the customer to book an associated activity (1 x credit provides 1 x booking). In the large majority of cases, you should only offer 1 x credit in this box.

  • Credits valid for (days) - If you would like to add a time limit for your credits to be used up, add 'x' number of days. This will automatically expire any unused credits. If you do not wish to add a time limit, leave this as zero.

Product - Advanced Options tab

Providing access to Activities

If adding a Credit, you will need to configure which activities it provides access to.

To do this, you will need to tick the relevant boxes that apply. This will enable members to book an activity and purchase the product at the same time via the members portal.

You can provide access to multiple activities from one product by selecting all boxes that apply.  

Add an image of the Product

To help encourage your customers and members to purchase the product, we highly recommend adding a relevant photo. Simply click on the image of the Camera and upload the relevant image.
