How to get existing data in to Clubmate:
To maximise the benefits of using Clubmate, it is important to manage all your
member data within it. We will therefore help you upload existing data as simply
and as swiftly as possible.
Please note, we can only import the membership data
that is relevant for the current season, prior to going live.
We also want to avoid any import and data duplication errors so our support
team will complete this process on your behalf
What’s next:
You should have received an email from our onboarding team, requesting further
information via an online form. Please complete this online form, including the
section about Member Data. To prepare your data for importing, you will first
need to download the data import template and then transfer your member data
into it. Once complete, please upload it via the online form.

We highly recommend the following at a minimum –
Email Address (unless the member doesn’t have one)
First Name
Last Name
Membership Name/Type (Senior/Junior/Associate member for example)
Membership Expiry Date (usually the date the membership ends unless on
a rolling basis)
Data Quality:
The data that we upload is only as good as the data that is provided. We
therefore ask you to take the time to double and triple check that the data you
have entered is accurate. Whilst not all columns will be mandatory, there are
some that you will need as a minimum (as above).
The more accurate the data is, the better. If there are gaps in some of the data,
we can import it and update later in Clubmate however the cleaner it is at the
beginning, the easier your life will be!
It’s not always essential to upload existing member data. If for example if your
club or fishery doesn’t have certain information such as email addresses for
members and has an open membership or no joining fee; you could simply allow
members to fill in their own details and re-join as of the beginning of the new
season. This may prove easier than chasing hundreds of members for email
addresses
