How do I set up and use nominal codes for reporting in Clubmate?

Nominal codes in Clubmate are essential for accurate reporting, particularly for analysing purchases and other financial data. This guide explains how to set up nominal codes correctly and use them for generating reports.

Understanding Nominal Codes in Clubmate

Nominal codes are identifiers used to categorise financial transactions, such as purchases, within Clubmate. Proper setup and alignment of these codes are crucial for generating accurate reports.

Setting Up Nominal Codes

To ensure that reports pull the correct data, nominal codes must be configured in two places:

  1. Assign Nominal Codes in Membership Plans - Navigate to the Membership Plans section. - Assign the appropriate nominal code to each plan.

  2. Create Matching Nominal Codes in Settings - Go to the Settings section and locate the Nominal Codes configuration. - Create the same nominal codes as those assigned in Membership Plans.

Important: The names and codes must match exactly between Membership Plans and Settings for the reporting functionality to work correctly.

Generating Reports Using Nominal Codes

Once nominal codes are set up, you can generate reports to analyse purchases by nominal code:

  1. Navigate to the Reporting section.

  2. Select Accounting > Product Sales Report.

  3. Use this report to view purchases categorised by nominal code.

By following these steps, you can ensure that your nominal codes are correctly configured and leverage Clubmate's reporting features effectively.
