Member-Initiated Cancellation & Freeze Requests

Give members more flexibility — while you stay in charge

This feature allows members to request a cancellation or freeze of their active membership directly through Clubmate. It gives your members greater convenience while you retain full control through manual review and approval of each request.

💡 Important: This is a request only — not an automatic action. No membership will be cancelled or frozen until your team manually processes it.

Why Use This Feature?

Allowing cancellation and freeze requests can help you:

  • Reduce the number of calls and emails asking to cancel or freeze a membership

  • Maintain oversight — nothing is finalised without your approval

  • Log and track each request easily for auditing or follow-up


How It Works

When enabled, members will see a “Request to Cancel” or “Request to Freeze” button next to their active membership in the Clubmate Member App.

Once a request is submitted:

  • A notification is sent to your team (via your dashboard or task list)

  • The member receives confirmation that their request has been received and is under review

  • Your team can then manually review and take action as appropriate


How to Enable or Disable This Feature

  1. Go to Settings → Club Info

  2. Scroll to the 'Members Area' Settings tab

  3. Toggle Request to Cancel Membership and/or Request to Freeze Membership on or off

  1. Click Save Changes

By default, these features are switched off — giving you full control over whether to offer them based on your club’s preferences and policies.


Helpful Tip

Consider updating your automated emails or follow-up procedures to reflect how you’ll manage these requests (e.g. expected response times, what happens next, etc.). Clear communication helps set the right expectations and improves the member experience.
