This guide will walk you through the steps to set up the Clubmate Pay feature within Clubmate. Each step is designed to help you complete the setup process smoothly and accurately. The setup process should just take a few minutes to complete.

Locate the Clubmate Pay Tile
On the Integrations page, find the Clubmate Pay tile. Ensure you select the 'Card' option, as this is separate from the Direct Debit (DD) setup.
Click the green 'Set Up' button on the Clubmate Pay tile to begin.
Fill in Your Personal Details
Enter your personal details. These must match the information associated with your bank account to avoid delays in the setup process.
Select Your Business Type
You’ll be prompted to choose your Business Type. Carefully select the option that best describes your organisation.
Please be aware if you are a Non-Profit (Unincorporated association), this is the information you'll be required to submit in the form:
A scanned copy of your passport or driving licence, along with a bank statement for the association's account.
Please be aware if you are a Registered company, this is the information you'll be required to submit:
Ensure this information is 100% accurate before proceeding. If you’re unsure at this stage, don’t hesitate to contact our support team for assistance.
Fill in Your Association / Business Information
In this step, you'll need to provide your business information.
Ensure the industry you select is suitable and the closest possible match to your business type.
Use the 'Business Description' field to add more context about your business. You can free type detailed information here to ensure accuracy.
Make sure all details are correct before proceeding to the next step by clicking 'Next'.
Review and Accept the Service Agreement
The next step involves reviewing the Service Agreement.
Take the time to carefully read through all the required information.
Once you’ve completed this, tick the 'I have read and agree' box and click the 'Next' button to continue.
Important Notes:
During the setup process, there is a £2,500 transaction limit in place.
Approval typically takes 48-72 hours, but we aim to process applications within 24 hours (same day) if all required information and documents are submitted correctly.
If additional information is needed, the approval timeline may vary depending on how quickly you provide the relevant details.
Ensure all information is accurate and complete to avoid delays.
Enter Your Bank Account Information -
In this step, you'll need to provide your bank account details.
Enter your account number and sort code accurately.
Double-check the information to ensure it’s correct.
Once you’ve reviewed the details, click the 'Submit' button to finalise this step.
Provide Sales Information -
The final step involves entering your sales information.
Customer Base:
If your customer base is entirely in the UK, select 100% in the Domestic field.
Leave the EEA and ROW (Rest of World) fields set to 0%.
Turnover and Transaction Value:
Enter your average monthly turnover.
Provide the average value of a single transaction.
Fulfilment Time:
For the Fulfilment Time field, select 'Instant'.
Once all the fields are complete, carefully review the information for accuracy and click 'Submit' to finish the setup process.
If you need to review or modify any of the information you’ve entered, use the 'Back' option to make changes before submitting.
Once you’ve followed all the steps and clicked 'Finish', your Clubmate Pay setup is complete. You’re now ready to start processing transactions securely.
