A Step-by-Step Guide to Setting Up Clubmate Pay for Secure Transactions

This guide will walk you through the steps to set up the Clubmate Pay feature within Clubmate. The setup process should just take a few minutes to complete.

Settings > Integrations

Locate the Clubmate Pay Tile

On the Integrations page, find the Clubmate Pay tile. Ensure you select the 'Card' option, as this is separate from the Direct Debit (DD) setup.

Click the green 'Set Up' button on the Clubmate Pay tile to begin.

Select Your Business Type

You’ll be prompted to choose your Business Type. Carefully select the option that best describes your organisation.

For the majority of Fishing clubs, you will identify as an 'Unincorporated association' which you can select via the Non-profit option.

If you are a Limited company, a CIC, a registered Charity or a company Limited by Guarantee, then you need to select the 'Registered company' option.

If you are a sole trader, select the first option labelled 'Individual / sole trader'.

Information you will need to provide

To satisfy FCA and Anti-money laundering regulations, you will be required to upload proof of identity and a copy of your organisations bank statement. So please get these ready before you begin.

If you are a Registered company, you will be required to provide proof of ID for all major shareholders (those who own more than 25% of the company). If you are a company Limited by Guaranteee, you will need to provide ID for 2 x directors.​

Fill in Your Association / Business Information

In this step, you'll need to provide your business information.

  • Ensure the industry you select is suitable and the closest possible match to your business type.

  • Use the 'Business Description' field to add more context about your business. You can free type detailed information here to ensure accuracy.

Make sure all details are correct before proceeding to the next step by clicking 'Next'.

Review and Accept the Service Agreement

The next step involves reviewing the Service Agreement.

  • Take the time to carefully read through all the required information.

  • Once you’ve completed this, tick the 'I have read and agree' box and click the 'Next' button to continue.

Important Notes:

  • During the setup process, there is a £2,500 transaction limit in place.

  • Approval typically takes 48-72 hours, but we aim to process applications within 24 hours (same day) if all required information and documents are submitted correctly.

  • If additional information is needed, the approval timeline may vary depending on how quickly you provide the relevant details.

Ensure all information is accurate and complete to avoid delays.

Enter Your Bank Account Information -

In this step, you'll need to provide your organisations bank account details.

Enter your account number and sort code accurately. Double-check the information to ensure it’s correct. Once you’ve reviewed the details, click the 'Submit' button to finalise this step.

Provide Sales Information -

The final step involves entering your sales information.

Customer Base:

  • If your customer base is entirely in the UK, select 100% in the Domestic field.

  • Leave the EEA and ROW (Rest of World) fields set to 0%.

Turnover and Transaction Value:

  • Enter your average monthly turnover.

  • Provide the average value of a single transaction.

Fulfilment Time:

For the Fulfilment Time field, select 'Instant'.

Once all the fields are complete, carefully review the information for accuracy and click 'Submit' to finish the setup process.

If you need to review or modify any of the information you’ve entered, use the 'Back' option to make changes before submitting.

Once you’ve followed all the steps and clicked 'Finish', your Clubmate Pay setup is complete. You’re now ready to start processing transactions securely.
