What does the member online joining experience look like?

When it comes to joining or renewing with your club, your members will have different ideas on how they want to sign up. Some may want to carry on using paper, others will want to sign up face to face but there will be plenty who find it more convenient to join online instead. Clubmate helps you manage all of these scenarios however this article shows you what a member sees when they join online. 

The member experience

When a new member arrives at the Clubmate log in page,  they will need to add some details. 

To start they will just need to click on the link that’s been provided either via the club / fishery website, or via an email that they may have been sent regarding renewal.

From the club login page the member will need to enter their name & email address they previously gave the club (Hint- use the same email address as the one you received the link on)

**If this is the first time they are accessing after they were uploaded in the member data? they MUST CLICK ON ALREADY GOT A MEMBERSHIP**

They then tick the terms & conditions and Privacy policy boxes

Click Continue

They now need to log in to their emails & find the email thats come in from the club they are joining.

Please ask them to open this email & click on the "Confirm your account by clicking here" link

This presents the member with the terms and conditions and privacy policy. They then need to read these and tick these boxes to confirm acceptance, plus select their contact preferences.

They'll now be asked to create a new password if one has not been set previously. Ensure that the two passwords match, then click on the "Change password" option.

They now tick the appropriate boxes for their contact preferences & select the nearest to where they heard about the club/fishery.

Next Click on Save & Continue


Once on they members area, they can now click on the tile that lets them set up a New membership.

Be aware that your club/fishery may call this tile by a different name or have it positioned in a different spot to the below image.

If they click on that button, it will show the membership options available to them.

they then click on the appropriate "Get Started" option, this will provide details of the membership.

Then they click on Select (their name)

Once they have entered their personal details and checked the information is correct, they need to add a profile picture. This is important if the club is using our ID card service as they will not receive their card if they do not upload a photo.

Click the "add a profile picture" button, they'll have the option to use a webcam photo or to choose a file and upload. Please ensure the photograph meets the requirements and is a clear passport style photo of their face.

*if they have previously uploaded a photo, they will not be presented with this option.


Next they can choose any relevant add-ons that your club or fishery offer.

*If your club does not offer any add-ons then this screen will not appear.


Now that they have added the membership, updated their personal details and selected any relevant add-ons, the last action is to make the payment.

they then click on "Add Card or Pay Now" and enter their card details securely before clicking on "Save card".

⚠️ You can not type in their card details or add cards into members profiles, Only a member can now do this

If they already have a saved card they'll be given the option to make a payment using this. Click "Pay using stored card" the click on "Submit payment".

This completes the purchase and the membership renewal. They will receive an email confirming their membership.

Simulating the member experience for yourself

If you'd like to simulate the member experience for yourself then you will need to register a separate Clubmate account but using a different email address. 

Just go to your clubs registration link, add some dummy information and a different email address (this cannot be the same as your Admin user email account). 

You can then walk through each of the steps. 

Please note that if you enter your payment card details then it will process a live transaction. Whilst the payment can be refunded back to your card, it will still attract a transaction fee. We therefore recommend setting up a free 'test' membership plan if you'd like to see the end to end experience.
