How to use the bailiff app to check on memberships

Clubmate allows bailiffs to check memberships in real time using the bailiff app, on the bank. There are two ways of doing this, click a link below to jump to the relevant section -

To search for a member by name or other details -

Click on the magnifying glass icon in the bottom right of the screen -

You’ll then see the member search bar, enter the person’s name - full, first name or surname can be used (other defining information such as the membership number or email address will also work, or even car registration if it’s been assigned as a custom field by an owner user)

The search will require a minimum of the first three letters of a first name or surname to function.

Press the “Go!” button on the right-hand side.

This will either bring up a list of members with this name or the individual only.

Please bear in mind if the member is also an admin user, so a bailiff themselves or an owner admin user, they will appear separately in the 'Staff' list, visible only to owner admin users.

Searching for a member using their membership number or barcode -

To check a membership, log in to the app and click on the “locate member” function indicated by the magnifying glass tile.

This will bring up the following screen -


You can either search using the membership number if the member has it, by entering it in the "Enter member id" field then clicking the "Continue" button -

Alternatively you can scan a members barcode from their ID card or by scanning the barcode directly from the members screen if they log in to the app.

How to check if the person holds a valid membership

Click on the member to bring up the member quick view, this will display the membership type plus any add ons.

The person’s membership type will be highlighted, usually in grey if the person is a “Prospect” which means they have not yet purchased a membership, or if the membership is “Expired” or “Cancelled”.

In Green if the person has an “Active” membership (although check the membership type is correct for the member i.e. - Junior, Senior etc)

If the member hasn’t included a profile picture you can either ask the person to log in and add a photo or click the add a photo option on the blank profile picture.

This will allow you either to choose a file (the member could send it across to upload) or to take a photo using the device’s camera.
