Each membership plan is categorised as either a New Member & Renewal plan (for all members) or a Renewal plan (for existing members only).

This allows you to serve up different membership options depending on whether a member is joining or renewing.

New Member & Renewal plans

As default, all of your membership plans will be configured as New Member & Renewal plans. So if you offer online memberships, these membership plans will be served up as options when someone clicks on the 'Start a New Membership' tab or 'Start another membership' link. They will also be served up as Renewal options during the renewal window.

Renewal Plans

Renewal plans allow you to configure a membership plan so that it is only available to existing members. New members will not be able to purchase a renewal plan.

You can also specify which plans are available to renew based on the current plan that the member holds. For example, if you have an exclusive membership type that only certain members can buy, then you can specify that only members who currently hold that membership type will be able to buy it when they renew.

Renewal windows

Pre and Post renewal window.

This allows you to specify how far in advance a member can buy their membership before their current membership expires.

It also allows you to set a specified window for how long they can renew after their membership has expired. For example, if your club has a policy that a member must renew within 30 days from the start of the season otherwise they need to pay the joining fee again, you can set the window to '30 days after' and if the member doesn't renew within the window then they be treated as a new member again.

The renewal window also controls when the Renew Now button becomes visible (see below)

Renewal Button

If a member logs in to their profile and their current membership expires during a renewal window, they will now see a big bold 'Renew Now' button prompting them to renew.

By clicking on this button, they will be presented with all of the Renewal membership plan options available to them.

Here's a short video showing you the process from a members perspective.

NOTE: When processing a membership manually, you will still be able to choose from all available plans, irrespective of whether it is marked as a New or Renewal plan.

What do I need to do?

To take advantage of our new Renewal features, you will need to make sure your Membership Plans are configured correctly. We have set a default 30 day pre-expiry renewal window for all of your membership plans.

If you are confident using Clubmate, you can do this yourself. We have also updated our support article on Membership Plans to help step you through it.

However, if you would like some extra support on getting these set up, please send us a message via our online chat, by email support@clubmate.co.uk and we will help get everything set up the way you need it.
