How to automate messages

With our automation tool, you can set up and send automated messages without lifting a finger. 

For example, you can create and send renewal reminders 'X' amount of days before their membership expires. Or you can send a message to prospects, influencing them to convert in to members, or send follow up messages to failed payments plus more.

There are many options, all you need to do is define what you want to send and when.  All you need to do is set it up once and then let Clubmate do the hard work.

We've come up with a few handy use cases but you can use the tool how you see fit.

Configuring the Automation tool

To open the tool, navigate to Settings, then click Message Automation.

You'll be prompted to Add new message and then name your new automation.

You'll now need to select the trigger you'd like to use. You can choose from:

  • Joined as prospect

  • Started Membership

  • Last visit

  • Every Visit

  • Payment overdue

  • Booking Made

  • Every Booking Made

  • Attendance

  • Every attendance

  • Membership expiry

  • Members birthday

  • Sales funnel stage changed

After that, you'll need to define when the trigger becomes active. eg, send message 14 days before the membership expires. 

You then need to choose whether trigger applies to all memberships, specific memberships or prospects. 

And you can also create a trigger based on a member or guest attending an activity (club event).

Message content & Tasks

Once you've set up the triggers & rules, now it's time to craft your message or task. 

You can be as creative as you like - you can insert images, videos or just plain text but remember that the message will be sent without any manual intervention, so take the time to make sure you are 100% happy with what's going to be sent.

You can also insert personalisation short codes. These short codes enable you to automatically personalise each message as it is sent. Please see our Personalising Automated Messages article for more detail.

Once you're happy make sure you press Save Changes and your automation will go live.

You can create as many automated messages or tasks as you like so fill your boots!
