Charging a fee for a booking

All activities require some form of access to be granted in order for them to be booked. 

You can either include access to an activity as part of a membership, this will enable members to book that activity for free (see Activity Access in Membership Plans for more detail). 

Or you can request a Product to be purchased at the point a member is making the booking.  For example, you may want to charge a fee for a Day Ticket or an entry fee for a Match. 

In this article, we will show you how to set up and configure a product so that it grants access to an activity.

Setting up a Product that grants access to an Activity

Click on the Settings icon in top right hand corner of the screen, scroll down and select 'Products' 

Click on the green Add New Product button

Add product details

You can now add the product details and add logic for activity access: 

  • Product Name  - Make sure you use an accurate description.

  • Nominal Code - make accounting that little bit easier by adding a nominal code to the product item.  

  • Group - Each product can be assigned to a product group. This can make it easier to navigate when using the Till. See Product Groups.

  • Price - Assign the relevant item cost for that product.

  • VAT - update any VAT rate, if applicable. 

  • Credits - Credits provide access to an Activity. Each Credit will enable the Member to book an associated activity. So if the product purchase should grant access to an activity once then the number of Credits should be 1. If the product enables access to multiple bookings, then you should add more credits (this is a great way to encourage members to purchase their bookings upfront). 

  • Credits Valid for (days) - By entering a number of days, you can set the credits to expire 'x' days from the purchase date. 

  • Stock level - if selling physical products you may want to set an opening Stock Level. The Stock Level will be tracked and updated as you sell.

  • Stock warning level - When the stock level hits your warning level, you will receive an automated reminder in the Dashboard to order more stock.

  • Available to purchase for - You can select whether the product is available to members, non-members, both or just internally via the Till. 

  • Joining Offer - Enabling this option will prompt this product to be promoted to members after they've purchased their membership.

  • Bolt-on - You can choose whether a product is offered to member during the online joining process. Especially useful if you want to give members the option of buying 'Match fees' upfront. 

Providing access to Activities

You will need to ensure that the product is configured to grant access to the relevant activity. This will enable members to book an activity and purchase the product at the same time via the members portal.

One product can grant access to multiple activities, select all boxes that apply.  

Adding a Photo

If you'd like to add a visual of the product that the member is purchasing, you can do this here. Just click anywhere within the box and you'll be prompted to upload a file.

This image will be displayed as a back drop to the product during the checkout process. See example below 👇


Please note: If the product provides activity access, you will need to create the Activity first.
